“Notion is so overwhelming!”
I hear this all the time—and I totally get it. You’ve heard about this magical tool that everyone swears by. You’ve seen the beautiful screenshots and templates. Maybe you even created a free account, opened that blank workspace, and then… froze.
Where do you even begin?
What looks like a blank, intimidating page to some, I see as a canvas ready for endless possibilities. And after nearly five years of building Notion systems for myself and my clients, I can confidently say that getting started with Notion doesn’t have to be overwhelming.
With the right approach, you can centralize your business operations, track your goals, and finally feel in control in a beautiful Notion space.
If you’ve been wondering if Notion is right for your business, or if you’ve tried it before and abandoned ship, this guide is for you.
Let’s transform that overwhelm into genuine excitement about what’s possible when you have the right systems supporting your vision.
In this guide, you’ll learn how to start using Notion step by step. We’ll cover why Notion is such a powerful tool for entrepreneurs, how to structure your workspace without overcomplicating things, and actionable tips to get started, even if you’ve felt stuck in the past.
Why Notion? Understanding What Makes It Different
Before we dive into the how-to, let’s talk about the why. You’re already juggling enough tools, so why add another one to the mix?
Notion isn’t just another productivity tool. It’s a digital workspace that adapts and grows with your business.
Unlike tools with rigid structures, Notion lets you build a system that fits how you think and work, plus it grows with your business. It’s part database, part document editor, part task manager, and entirely customizable to fit your unique business needs.
I use Notion for practically everything in life and business:
- Business planning (content calendars, client hubs, SOPs, and more)
- Goal setting (my entire annual planning and quarterly review process)
- Travel planning (itineraries, destination research, routes)
- House inventory (yes, really!)
- And so much more!
The beauty of Notion is that it grows with you. Start simple with a few pages, and expand as you discover what you need. There’s no pressure to build the perfect system on day one, and honestly, you shouldn’t try to.
Reframing the “Overwhelming” Feeling
Let me take you back to my Notion origin story.
I discovered Notion nearly five years ago, back before AI agents, before built-in automations. As someone who’s always been obsessed with digital tools and productivity, I dove in headfirst.
But here’s what I want you to understand: I didn’t build everything at once.
I started small. I tinkered. I made mistakes. I rebuilt things. And every time I opened Notion, I got a little more excited about what I could create next. Fast forward to today, and Notion is my everything hub.
I genuinely get giddy when a client messages me with a new Notion need or system idea. That’s where my systems and operations brain thrives!
The overwhelm you’re feeling? It’s your brain recognizing the incredible potential of Notion without yet knowing how to harness it. And that’s exactly what we’re going to fix.
Your First Steps: How to Get Started with Notion
Ready to turn that blank canvas into something beautiful and functional? Here’s your step-by-step roadmap for getting started with Notion as a complete beginner.
Step 1: Start with the Free Plan and Explore
Don’t overthink this part. Head to Notion.so and create your free account. Notion’s free plan is incredibly generous and includes everything you need to get started.
Once you’re in, take a few minutes to simply click around.
Notice how pages work, how you can add different types of content blocks (try typing “/”), and how the sidebar navigation functions.
You don’t need to understand everything right now. Just get comfortable with the interface.
✨Ops tip: Notion has been consistently updating its tool with new features like built-in Notion Forms and AI capabilities. While these are exciting additions, don’t feel pressure to use everything immediately. Start simple, then layer in complexity as you grow more comfortable.
Step 2: Identify Your Starting Point
This is where most people go wrong with Notion. They try to build their entire business infrastructure on day one and end up overwhelmed and abandoning the tool.
Instead, ask yourself: What’s the ONE area of my business that feels the most chaotic right now?
Maybe it’s:
- Content planning and tracking
- Your growing collection of SOPs and processes
- Team resources and documentation
- Goal tracking and strategic planning
Choose ONE. Just one. That’s your Notion starting point.
Step 3: Start with a Template (Then Customize)
Here’s a secret that will save you hours of frustration: you don’t have to build everything from scratch. Notion’s template gallery is filled with starting points.
Browse templates related to your chosen focus area. Try a few free ones. See what resonates with how your brain works. The keyword here is “starting point.” Templates are meant to be customized, not used exactly as-is.
As you explore templates, pay attention to:
- What features make sense for your workflow
- What feels unnecessarily complicated
- What’s missing that you’d need to add
Remember, no template will be a perfect fit right out of the box. That’s actually a good thing because it means you’re building something truly tailored to YOUR business.
Step 4: Build Your First Simple System
Once you’ve explored some templates and identified your focus area, it’s time to build your first simple Notion system. I’m going to walk you through creating a basic content planning hub because it’s something almost every entrepreneur needs.
Creating a Simple Content Planning System:
- Create a new page in Notion and title it “Content Hub”
✨Ops Tip: Get into a habit of naming your Notion pages something super clear, so your space stays organized. If you decide to use a consistent naming convention—even better. (But do what works for you!) - Add a database by typing “/database” and selecting “Database – Inline.”
- Choose “new empty data source” to create a brand new database.
- Name your database something like “Content Calendar”
- Click ” Add property” and add relevant properties like:
- Status (Select: Ideas, Drafting, Editing, Designing, Scheduled, Published)
- Content Type (Select: Blog Post, Social Media, Email, etc.)
- Publish Date (Date)
- Platform (Select: Instagram, LinkedIn, Blog, etc.)
- Create your first few entries with upcoming content ideas by clicking “+New.”
Congratulations! You just built your first functional Notion system. It’s simple, but it’s YOURS, and it works.
Step 5: Use Visuals to Stay Motivated
Notion is a highly aesthetic platform. Add icons, colors, covers, or gallery images to make your workspace feel inviting.
A visually pleasing system is one you’ll actually open daily.
Step 6: Make It a Daily Habit
The difference between Notion becoming your go-to tool versus another abandoned app comes down to one thing: consistent use.
Here’s how to build the Notion habit:
- Pin it to your browser favorites or download the desktop/mobile app
- Start each day by opening Notion (even if just for 2 minutes)
- Add to it regularly: new ideas, completed tasks, quick notes
- Don’t aim for perfection: aim for progress and regular use
The more you use Notion, the more natural it becomes. And the more natural it becomes, the more you’ll discover ways to expand and optimize your systems.
Common Beginner Mistakes (And How to Avoid Them)
As someone who helps entrepreneurs and visionary leaders get started with Notion, I’ve seen the same stumbling blocks over and over. Let’s address them now so you can skip right past them:
Mistake #1: Trying to Build Everything at Once
Start with one system. Get comfortable. Then expand. Your Notion workspace is a living, breathing tool that grows with your business, not something you need to perfect on day one.
Mistake #2: Getting Lost in Aesthetics Before Functionality
Yes, Notion can be beautiful. But a gorgeous workspace that doesn’t function for your needs is just digital clutter. Build for function first, then make it pretty.
Mistake #3: Not Customizing Templates
Templates can be great starting points. If a template doesn’t quite fit, change it! Delete what you don’t need, add what’s missing, and rearrange until it feels right.
Mistake #4: Forgetting to Actually Use It
The best Notion workspace in the world is useless if you don’t open it. Build the daily habit early, even if you’re just checking in for a few minutes.
Growing Your Notion Skills Over Time
Here’s what I love about getting started with Notion as a beginner: you don’t need to know everything to get value from it right away.
Start with the basics:
- Creating pages
- Adding text and simple content blocks
- Building basic databases with a few properties
- Creating simple views (table, board, calendar)
(These are all the things we just did when creating your simple Content Hub above!)
As you grow more comfortable, you can explore:
- Linked databases for connected information
- Relations and rollups for powerful data connections
- Templates within your databases for consistency
- Formulas for calculated fields
- New features like Notion AI and built-in Forms
The learning curve is gradual, which means you can find value at every stage of your Notion journey. I’ve been using Notion for nearly five years, and I’m still discovering new ways to optimize and expand my systems.
In fact, when Notion rolled out its updated credentialing system, I earned my Notion Skills credentials in under an hour. Not because I’m some kind of Notion genius, but because I’d been using these features daily in my own business and for clients. The learning happens naturally through consistent use.
When to Keep It Simple vs. When to Customize
As you get started with Notion, you might wonder: should I stick with simple templates and basic setups, or invest in something more comprehensive?
Here’s my honest take based on working with mission-driven entrepreneurs for over three years:
Keep it simple if:
- You’re brand new to Notion and want to explore at your own pace.
- You have time to experiment and build gradually.
- You enjoy the process of tinkering and discovering.
- You’re focusing on one specific area.
- You have any plans whatsoever of becoming a Notion consultant or offering Notion services (👋🏻hi, friend!)
Consider a custom solution if:
- You have an idea that you want completed now, and just don’t have the time to figure it out yourself.
- You need multiple interconnected systems working together.
- Your team needs a centralized hub that’s ready to use immediately.
- You’ve tried building yourself, but feel stuck or overwhelmed.
- You want a professional, branded workspace without the learning curve.
- You really have no interest in learning Notion and would like someone who truly understands it to create something for you.
This is exactly why I created the Notion Business Hub template. To give entrepreneurs a comprehensive starting point that includes 11 customizable sections for managing business foundations, from team dashboards to an SOP playbook and resource library. It’s the perfect middle ground between starting from scratch and having everything custom-built.
And for those who want their Notion vision brought to life without the DIY approach, I offer Custom Notion Builds where I create tailored workspaces designed specifically for how YOU work and how YOUR business flows. (Plus you get walkthrough videos and documentation, so you and your team can easily get started in your space.)
Your Notion Journey Starts Now
Getting started with Notion doesn’t have to be overwhelming. It can actually be exciting when you approach it with the right mindset and a clear roadmap.
Remember:
- Start with the free plan and explore without pressure.
- Choose ONE focus area to build your first system.
- Use templates as starting points, then customize.
- Build the daily habit of opening and using your workspace.
- Give yourself permission to grow gradually. You don’t need to master everything at once.
What others see as overwhelming complexity, I see as an open canvas ready to transform how you work. And now you have the roadmap to create that transformation for yourself.
Every day, I open Notion, and I’m genuinely excited to tinker, create, and solve problems. That’s not an exaggeration. And I truly believe that with the right approach, you can feel that same excitement about your own Notion workspace.
So here’s my question for you: What’s the ONE system you’re going to build first? What area of your business is ready for some Notion magic?
